You can set up an out of office in Access Approve to allow invoices to be approved on a user's behalf while they are away.
If a user has an out of office commitment, for example a sick day, an administrator can set them to out of office in Access Approve to process invoices on their behalf. This is particularly useful during crucial periods, for example month or year end.
An administrator must complete these steps if the user cannot do so themselves.
In Access Approve, click **Settings**.
Select **Users**, then locate the user.
Click **Actions**, then select **Out of Office**.
Complete the settings in the pop-up that appears.
Select the expected return date for the user to create a timeframe for this setting.
The main query will display βWho should approve on your behalf while you are away?β followed by the approval stages under the database name.
Select the user to approve on behalf of the absentee for the appropriate stages.
Click **Out of Office** to save these changes.
**Note**: The setting does not switch off automatically when the user returns. It must be manually deactivated.
